Africa Relief and Community Development (ARCD) is a U.S.-based nonprofit organization headquartered in Clifton, New Jersey, with field offices across Ghana, Gambia, Senegal, Djibouti, Tanzania, and Sudan. ARCD delivers relief and community development programs in partnership with local stakeholders across its regions of operation.
Position Summary
The Project Coordinator is responsible for managing and coordinating assigned projects from planning through implementation, completion, and handover. The Project Coordinator ensures that all projects are implemented according to the approved scope, budget, timeline, bidding requirements, contracts, technical specifications, quality standards, and organizational requirements.
Key Responsibilities
1. Manage assigned projects from planning through implementation, completion, and handover.
2. Prepare and monitor project implementation plans, schedules, budgets, and required documentation. 3. Conduct and coordinate site assessments before project implementation.
4. Create and review project drawings, specifications, Bills of Quantities (BOQs), and technical documents.
5. Coordinate bidding processes and contractor evaluation and selection.
6. Monitor contractors and ensure compliance with signed contracts, approved scope, budget, specifications, quality standards, and timelines.
7. Conduct regular site inspections and monitor construction progress and quality.
8. Identify and report project delays, quality concerns, implementation challenges, and deviations from approved plans.
9. Review contractors’ progress, invoices, and payment requests, and verify completed work before recommending payment.
10. Prepare and submit weekly and monthly project progress reports, including photos, progress percentages, challenges, and expected completion dates.
11. Coordinate with contractors, field teams, HQ, and other relevant stakeholders.
12. Ensure project changes or variations are documented and approved before implementation.
13. Maintain complete project files and supporting documentation.
14. Coordinate final inspections and ensure outstanding or corrective works are completed.
15. Ensure completion reports and required documentation are submitted before project closure and handover.
16. Provide management with timely updates on project status, risks, delays, and contractor performance.
17. Perform other project-related duties assigned by management.

Required Qualifications and Skills
1. Bachelor’s degree in engineering, Project Management, or a related field.
2. Fluency in English, both written and spoken, is mandatory.
3. Strong project planning, coordination, monitoring, and reporting skills.
4. Knowledge of procurement, bidding, contracts, budgeting, and project payment processes.
5. Ability to review technical documents, BOQs, specifications, and project plans.
6. Strong contractor management and quality-control skills.
7. Strong organizational, communication, and problem-solving skills.
8. Ability to manage multiple projects and meet deadlines.
9. Proficiency in Microsoft Office and relevant project management systems.
